Why is this important?

As a tourism professional, responsiveness is your greatest asset. By entering your direct sales immediately:

  • You avoid OTA commissions.

  • You can respond quickly and efficiently to your customers’ enquiries (availability checks, confirmations, etc.).

  • You can accept bookings anywhere using the elloha mobile app.



Follow the step-by-step guide

Step 1: Create a new booking

To manually add a booking to your calendar:

  1. Click on the ‘New Booking’ button, located at the top right of your screen.

  2. This will take you to the booking creation interface.

This step is the starting point for all your manual bookings. It allows you to easily recreate a booking made by telephone, email or in person.


Step 2: Enter the details of the stay

Enter the booking details to view the relevant offers:

  • Select the desired dates of stay.

  • Enter the number of people for the stay.

By default, you only need to enter the total number of people. If age groups have been set up in your account, you can then specify the number of adults, children and the children’s ages.

  • You can add multiple accommodation options to a single booking:

  1. Click the ‘Add a room’ button.

  2. Enter the number of people for this accommodation unit, as you did previously.

💡 Tip: This feature allows you to group several accommodation units under a single guest booking to simplify the management of your groups.

💡 Tip: The offers displayed automatically take into account your booking rules (minimum stay, permitted arrival days). You will therefore only see the options that are actually available for the dates you have chosen.


Step 3: Select the stay and customise the booking

This step allows you to set the details of the stay and add additional services to your basket.

Choose the accommodation and rate

  • Browse the list of accommodation available for your chosen dates.

  • Click on ‘View rates’ to see the available offers (standard prices, special offers, promotions).

  • Click on ‘Add to basket’ to include the chosen offer in your booking.

💡 Tip: You can repeat this process to add multiple stays or different types of accommodation to the same booking.

Edit or adjust your selection

Once the accommodation has been added to your basket, you can use the customisation tools:

  • Click the ‘Actions’ button to manually change the price or adjust the number of people (pax).


Add additional services and specific products

You can enhance the stay with two types of options:

  • Options linked to the offer: the availability of these options depends on the selected accommodation offer.

  • Optional extras: these are available in addition to accommodation but can also be booked on their own.

You can also add giftcards and vouchers to the basket if your customer wishes to give them as a gift.

❗️Important: Please ensure you check the contents of your basket are correct before proceeding to the next step.

For a booking comprising several services, you can assign specific options to each accommodation unit:

  1. Select the relevant room or accommodation on the right-hand side of your screen.

  2. Add the desired options from your available services.

  3. Confirm to update the total amount of the booking.

💡 Tip: This feature is ideal for charging for services (such as breakfast or bike hire) only to guests staying in a specific room within a group.

Step 4: Enter guest details

Before proceeding to payment, click the ‘Enter guest details’ button at the bottom right of your screen.

You can then enter your guest’s details in the dedicated tab:

  • Surname and first name

  • Email address (required)

  • Telephone number

  • Postal address

💡 Tip: Providing this information is essential for tracking the booking and facilitating communication with your customers.


Step 5: Proceed to the booking payment

Once your booking has been created, click on the Payment tab to view the summary.

Here you can see the total amount, payments already received and the balance outstanding.
This view allows you to immediately check the financial status of the booking before taking any action.

📌 Good to know: The outstanding amount is updated automatically after each payment. This allows you to track in real time what your customer has or has not paid.

Depending on your settings, you can then send a secure payment link to your customer if a payment solution such as Stripe is enabled.

💡 Tip: Sending a payment link immediately after the booking is created helps you secure your sale more quickly and reduces the risk of customers forgetting to pay.

You can also click on ‘I’m making an exception to my payment terms’. A window will then open, allowing you to confirm your choice and adjust how the booking is processed.

This exemption allows you to confirm a booking without having received the payment specified in your pricing terms. You are therefore now responsible for following up on payments for this booking.

⚠️ Please note: If you leave this page without completing this step, the booking will be saved in your “pending” files. It is saved, but does not block your availability.
To block your schedule, you must either:

  • either for the payment to be made (via the link sent),

  • or you must confirm the booking by waiving your payment terms.

Conclusion

Your booking has now been created and saved in your calendar.
You can then complete it at any time by adding payments or additional services (or options) according to your client’s needs.
