Why is this important?

Clear and prompt invoicing builds trust with your customers. Whether for a business reimbursement or for their personal accounts, your travellers will appreciate receiving a flawless document without delay. For you, it ensures rigorous management and seamless tracking of your income.

Follow the step-by-step guide

Step 1: Access the booking

To view or edit a customer file, follow these steps:

  1. In the left-hand side menu, click on Bookings.

  2. Select the relevant booking to open the full details of the file.

If you cannot find a booking, see our dedicated article to learn how to search for your bookings using different criteria.

Step 2: Access the booking documents

From the booking details page, manage all the supporting documents linked to the booking:

  1. Click on the ‘Documents’ tab.

  2. View the list of archived documents, including your customers’ invoices.

All documents generated for the booking are centralised here to make your administrative follow-up easier.

Step 3: Finalise and print the invoice

Before generating the final document, you can adjust the booking details:

  • The services provided;

  • Your rates;

  • Your customers’ contact details.

Once you have finished making changes, click on ‘Edit’ to generate your customer’s invoice.

⚠️ Please note: Make sure all the customer’s contact details are correct before issuing the invoice. Once the invoice has been generated, the information is finalised to ensure the document complies with legal requirements.

Step 4: Generate and send the invoice

The dedicated section allows you to manage your tenants’ accounting documents:

  • View: to display the invoice on screen.

  • Print: to print a hard copy or generate a PDF file.

  • Send: to send the invoice by email (if the tenant’s email address has been provided).

You can view the history of all actions related to this document by expanding the relevant section.

You now know how to generate, send and print an invoice from a booking. This centralised management system allows you to easily track your documents and ensure reliable, structured accounting records.
