📌 This article answers the following questions:
- How do I set up Stripe on elloha to accept online payments?
- How do I send a secure payment link to my customer from a booking?
- How do I process a payment from a credit card held as a deposit?
- How do I track payments received via Stripe in my booking file?
Why is this important?
The Stripe integration offers you:
Automation: no more manual collection of bank details.
Security: transactions processed via a certified payment protocol.
Centralisation: immediate synchronisation of payments with your booking calendar.
Guarantee: particularly in the event of a no-show
Follow the step-by-step guide
Step 1: Access the booking
To manage a payment, you must first access your customer’s file:
In the left-hand side menu, click on Bookings.
Select the relevant booking to view the full details (services, payments and actions).
If you cannot find a booking, please refer to the article on managing and searching for your bookings.
To process a payment, make sure your Stripe account is set up correctly. If necessary, follow the steps in the article ‘Enable Stripe on elloha’.
💡 Tip: You can also access a booking directly by clicking on the relevant block in your arrivals calendar.
Step 2: Choose the payment method via Stripe
To initiate a payment from a booking file, follow these steps:
Go to the Payment tab for the relevant booking.
Click the ‘New transaction’ button.
Select ‘Add a payment’.
⚠️ Please note: no payment can be added once the invoice has been issued or sent to your customer.
Several payment options via Stripe are available depending on your needs:
Charge the credit card as a deposit: This option allows you to charge a card that was already registered during the online booking directly.
This is the quickest solution if your customer has provided a card details. You can then charge all or part of the amount without any action required on their part.
❗️Important: This option is only visible if a credit card has already been saved by your customer during their online booking or if you have sent them a secure link to provide a deposit.
Send a secure payment link: A link is generated and sent to your guest so they can pay online at their own convenience.
This option is ideal if no payment has yet been made or if you wish to avoid handling bank details.
Taking a credit card as a guarantee: A secure link is sent to your guest so that they can register their credit card online, without making an immediate payment.
This solution allows you to secure the booking and have a payment method available for future collection, for example in the event of additional charges or cancellation.
Collect payment via the Stripe terminal: This option is used for on-site payments via a Stripe payment terminal.
It is suitable if your guest pays in person upon arrival or departure.
❗️Important: The availability of these options depends on whether Stripe is activated on your account and whether payment details (a registered card) have already been added to the booking record.
To record a payment for information purposes on a booking (cash, cheques, bank transfers, etc.), please refer to the dedicated article: Easily record your offline payments.
Step 3: Enter the amount to be collected or generate a payment link
Depending on the payment method chosen, there are two scenarios:
If you are charging a saved
card: Enter the amount you wish to charge, then click Save.
You can collect the full amount or just part of the outstanding balance, depending on the status of the booking.
If you’re sending a Stripe payment link A secure link is automatically generated and sent to your customer by email.
This link allows them to enter their bank details and pay online, entirely at their own convenience.
⚠️ Important: the Stripe payment link is valid for 30 minutes. After this time, you will need to generate a new one.
Step 4: Complete the payment
If paying by a saved card: Confirm the transaction to authorise the payment from the customer’s card.
The payment is processed immediately and recorded in the booking record.
If a payment link has been sent : Confirm the transaction to trigger the sending of the payment link.
The customer clicks on the link received by email, enters their bank details and then confirms the payment.
Once the payment has been made, it is automatically recorded in the booking record.
Step 5: View your payments
Once the payment has been confirmed, you can view your transaction details in two places:
The booking file: to view payments relating to a specific stay.
Payment tracking: to get an overview of your transaction history.
💡 Tip: Track or export your payments to a CSV file from the payment tracking section to keep track of your revenue and transaction fees.
Key points
Maximum security: You never have access to your customers’ bank details; these are stored and encrypted by Stripe for complete protection.
Peace of mind: If a payment is declined (insufficient funds or a chargeback), an alert is displayed immediately, allowing you to contact your traveller straight away.
Professionalism: Your customers automatically receive a payment confirmation, enhancing your brand image.
