Why it’s important!

In the age of AI, the listings that stand out are those that are ‘structured’ around a wealth of detailed information. Not only do they help your future customers get a clear picture of what you’re offering, But they also help search engines, which favour precise information when recommending one accommodation over another. Furthermore, this information will be invaluable for displaying highly detailed content on your Magic website and your booking engine.

Step 1: Multiple tabs for maximum detail!

  • In the side menu (on the left), click on ‘My business’,

  • Then, on ‘My Property’

  • Here you’ll find the ‘basic’ information you entered when you created your elloha account. This is where you can add to and/or edit this information using the various tabs:

    • General Information: mainly commercial details, such as the age groups of the guests you accommodate, which may be subject to different rates,

    • Description: Write a comprehensive description of your accommodation, add translations to reach an international clientele and thus make it easier for your guests to view and book your property.

    • Media: here, you can add photos or videos to enhance your listing on your website and/or your booking engine,

    • Terms and Conditions: create and view your general terms and conditions (booking and cancellation policies, etc.) in several languages and access previous versions of your terms and conditions (allowing you to keep a record of them and track changes),

    • Rental Agreement: in this tab, upload the PDF of your rental agreement if you usually send one to your customers at the time of booking (this agreement will be merged into a single PDF with your voucher or booking confirmation),

Step 2: General tab

  • Trade name of your establishment: this is the name you entered when you created your account. You can change it here at any time, and this change will be reflected immediately on your Magic website, in your booking engine and on all documents (e.g. vouchers) generated via elloha,

  • Type of establishment: You can change this setting at any time,

  • Administrative classification: this information is declarative and may be checked at any time by the regulatory authorities via your website or the documents issued from your elloha account; this means you must ensure it is highly accurate,

  • Accommodation type: This information may be passed on to OTAs connected to elloha when you make your offers available to these partners,

  • Floor area: please state the total floor area of your accommodation, not just that of the sleeping areas,

  • Other details: see below regarding accessibility for people with disabilities (the indication of a ‘Tourisme Handicap’ label, applicable only in France, is your sole responsibility); information on group bookings is published on your website and in your documents, as is information on pet accommodation.

  • Baby & Child Rates: this section allows you not only to specify the different age groups accepted at your accommodation but, more importantly, to create per-person rates in your pricing plans based on the age group of your guests.

  • Social media: these links will be published on your Magic website. If you wish your guests to be redirected to them accurately, it is essential to adhere to the URL format required by each platform to ensure your guests are redirected correctly.

Your address and location

Providing your exact location is essential for guiding potential guests effectively, especially if your accommodation is in a remote area.

  • The address displayed in the General tab is the one you entered when you created your elloha account: you can edit it here or add useful details such as GPS coordinates (see below),

  • You can add important details such as the “local place name”, for example, which isn’t always included in Google,

  • If you want to provide even greater precision, click on ‘Enter your geographical coordinates’ to specify your latitude and longitude. Once saved (using the ‘Save’ button at the top right of your page), your map marker will move to a new position on the map.

Step 3: Your logo and contact details

  • Your logo will appear on your website, your booking engine and in documents issued via your elloha account (quotes, vouchers, invoices, etc.). Please ensure you upload the logo in the highest quality so that it displays correctly on all these platforms,

  • Your contact details are published on your platforms (see above) according to your preferences (you may choose not to publish them). However, by displaying quick contact options, you can provide a valuable service to your customers, enabling them to contact you more quickly.

Step 4: Description tab

Your introductory article (Description) is a key element of your online sales strategy: the more comprehensive and inspiring it is, the more it will help you attract the interest of your future customers.

  • Write your own description of your accommodation and its surroundings, or make use of our “AI, write for me!” feature

☕️ Let the AI write it for you!

Sit back, click on “AI, write for me!” and discover (thanks to a custom prompt developed by the elloha team) a bespoke description of your accommodation. Are you happy with it but would like to tweak it slightly or add to it? No problem: simply place your mouse in the text input field and make your changes. Would you like to add one or more foreign-language versions of this text? That’s no problem either. You can do this later, either manually or automatically, by clicking here.

Finally, don’t forget that you can translate the content you’ve finally chosen into several languages: read the article.

  • Complete the description of your amenities and facilities

Once you’ve written your listing, make sure to complete your description by ticking the comfort features and facilities available at your accommodation: these will be displayed immediately on your booking engine (as icons and images) as well as in all documents (such as vouchers) published via your elloha account.

❗️Important: the description of the beds/bedding in your accommodation (detailed by bed type) will be used to calculate the maximum capacity of your accommodation in the booking engine.

Step 5: Media

This tab is one of the most important because study after study has shown that the more photos you publish of your accommodation, the greater your chances of securing a booking!

  • Click on ‘Add media’,

  • import one (or more) media files by uploading a file or entering a photo’s URL,

  • Add a caption to each photo to improve the search engine optimisation of your images and, consequently, your Magic website.

💡 Tip: We recommend uploading between 15 and 20 photos (using the quick bulk import feature), with the following specifications:

  • Dimensions: at least 1600 × 1200 pixels,

  • Orientation: landscape,

  • Recommended formats: jpeg, png, heic.

    • If you need to convert from one format to another, feel free to use this free tool provided by Canva.

  • Maximum file size: 6 MB.

Step 6 – Terms and Conditions of Sale

In your elloha account, you can draft successive versions of your terms and conditions of sale, as each version is stored in your history, allowing you to ensure you are in line with the terms and conditions accepted by your customer at any given time.

Example: it is now July, but your terms and conditions changed in May. A customer made a booking in January. In the event of a dispute, you will be able to refer to the terms and conditions that they accepted at that time.

Step 7 – Rental contract

Although it is not always necessary to send a rental contract, you can always send it to the customer at the same time as the booking confirmation voucher.

📌 Good to know: Please note that the validation of this contract is not managed by elloha. We recommend that you check for yourself that the customer has returned it to you signed, or that they hand it to you on arrival. However, the most effective way is to ask them to sign it electronically before their arrival using solutions such as YouSign or DocuSign.
