The pricing plan is at the heart of your sales strategy. It defines how and under what conditions you rent out your accommodation. A well-structured plan allows you to:

  • Build trust with your guests through clear pricing (what is and isn’t included).

  • Protect your business with appropriate cancellation policies and stay restrictions.

  • Optimise your cash flow by automating payment procedures.

Clearly priced offers in your booking engine, with stay conditions and payment terms defined in line with your strategy.

Follow the step-by-step guide

Step 1: Create a pricing plan

To set up your accommodation rates, follow these steps:

  1. In the Pricing menu, click on Pricing Plans.

From this screen, you can view, edit and create all your pricing plans:

  • Standard

  • Special offers

  • Promotions

2. Click the ‘Create a rate plan’ button.

💡Tip: To encourage direct bookings on your website, offer a rate plan that’s more competitive than those on OTAs (Online Travel Agencies).

Example: daily check-in or a late check-out offered exclusively for bookings made on your website.

Step 2: Name your rate plan

  • Enter a clear description to identify your rate (e.g. ‘Standard Plan’ or ‘Flexible Plan’).

  • Select the ‘Standard’ field.

This name will be visible to your customers on your booking engine. A clear title makes the booking process easier for them.

Step 3: Define the pricing method

Choose how your prices are calculated based on the occupancy of your accommodation:

  • Per-person pricing: your rates are calculated for each guest.

  • Per-room pricing: the price is fixed regardless of the number of guests.

  • Combination pricing: your prices are set according to the exact composition of the group (e.g. 1 adult, 2 adults, 1 adult + 1 child).

💡 Tip: Choose the pricing method that best suits your type of accommodation and how you operate.

Examples:

  • For a hotel or guesthouse, opt for per-room pricing for a simple and clear rate.

  • For a holiday cottage or an entire property, you can use per-room pricing (whole property) or combination pricing depending on the number of people.

  • For a campsite, combination pricing is ideal for adjusting your prices according to the number of guests or the options selected (pitch, facilities, etc.).

Step 4: Set your pricing calculation method

Select the billing frequency applicable to your accommodation:

  • Pricing per night: the price of your stay is calculated on the basis of each night occupied.

  • Weekly pricing: the price is calculated on a flat-rate basis for seven nights.

💡Tip: Tailor your pricing method to your type of stay and seasonal patterns.
Example: opt for weekly pricing during peak season to secure longer stays, and per-night pricing during the off-season to attract more bookings.

Step 6: Set the board type

Define which meal plan is included (or not) by default in your pricing plan:

  • No meals

  • Breakfast

  • Half-board

  • Full board

Ensure that this choice is consistent with the price set to ensure your customers receive clear information when making a booking.

Step 7: Fill in the details of your rates

Specify the terms of your offer to provide your guests with full transparency:

  • The price includes: list the services included in your accommodation (e.g. cleaning, bed linen).

  • The price does not include: specify any additional charges (e.g. tourist tax).

A clear description of your rates helps to reassure your guests and minimise the need for further communication before they confirm their booking on your calendar.

Step 8: Set your stay restrictions

Set the booking conditions applicable to your pricing plan:

  • Minimum and maximum stay lengths.

  • Permitted arrival and departure dates for your guests.

💡Tip: Setting a minimum stay helps you optimise your calendar occupancy, particularly during peak season.

Example: set a minimum stay of 5 nights in July and August to avoid gaps in your calendar and maximise your bookings

Step 9: Set a cancellation policy

Apply the refund conditions for your guests to this pricing plan. Select the cancellation policy of your choice from those you have previously set up.

Make sure you have already created your cancellation policies in your settings so that they appear in the drop-down list.

If you haven’t created a policy yet, click on ‘Create a new cancellation policy’ to add one directly from this screen.

⚠️ Please note: Clicking on ‘Create a new cancellation policy’ will take you to a different page, so please ensure you have saved any data you have already entered.

Step 10: Set your payment methods

Select the payment method you wish to apply to bookings for your accommodation:

  • Full payment at the time of booking: the full amount of the stay (excluding tourist tax) is collected upon confirmation.

  • Partial payment at the time of booking: a percentage of the total amount, as defined by you, is charged at the time of booking.

  • Payment on arrival with a credit card held as security: the guest’s credit card details are recorded at the time of booking without any immediate payment being taken.

  • Payment on arrival without a credit card held as security: no payment or credit card details are required at the time of booking.

❗️Important: You must activate a virtual payment terminal to use the full payment, partial payment or credit card as a guarantee payment methods.

💡Tip: A partial payment at the time of booking is a good compromise to secure your bookings whilst remaining attractive to guests.

Example:requesting 30 per cent at the time of booking helps to limit cancellations whilst allowing your guests flexibility.

Step 11: Link the pricing plan to your accommodation listings

Once your changes have been saved, select the relevant listings to apply the pricing plan. Tick the corresponding box and then click Save.

⚠️ Pleasenote: Remember that after creating your pricing plan, you must go to the Calendar to enter your prices; otherwise, your availability will not be displayed for booking.

Manage your pricing plans

To tailor your accommodation’s pricing to your calendar, you can create different types of pricing plans:

  1. Promotions: for example, ‘Early Bird’ to reward early bookings, or ‘Last Minute’ to maximise your occupancy rate.

  2. Special offers: for example, a ‘Stay 7 nights, pay for 6’ offer, or an offer including benefits (free breakfast, cleaning included, discount for long stays)

Using pricing plans allows you toautomate your price changes and optimise your booking calendar.
